Regular meeting
Motions, mover and seconder confirmed
Motion
Approve the Oak Street landscaping bid.
✓ Mover & seconder confirmed by MinutesDesk
MinutesDesk · for HOA & condo managers
Send the recording (and agenda). AI drafts the minutes as a DOCX with timestamped motions. MinutesDesk confirms each mover and seconder it can identify from the recording; when a name isn’t stated, the draft says Not stated in recording. The board still reviews and approves the minutes.
First meeting free by email. Then $25 a meeting, paid online. No contract.
Process
Share it with the agenda, plus one past set of minutes for format.
Transcript, then motions with timestamps, then a DOCX. Uncertain items are flagged.
MinutesDesk confirms each mover and seconder it can identify from the recording, or marks Not stated in recording. You review it, and the board approves as usual.
Why this exists
Turning a long board recording into minutes takes hours. MinutesDesk drafts them with AI and confirms who moved and seconded each motion, with a timestamp link.
MinutesDesk confirms who moved and seconded each motion when the recording supports it; otherwise the draft says Not stated in recording. The board reviews the whole draft before approving it.
Jump back to the recording in seconds.
Send one past set of minutes and we follow its layout.
We never claim final or legally sufficient minutes.

Your data
Share the file from your own Google Drive, Dropbox or OneDrive with matt@lumegrid.ai only, not as a public link. Turn off sharing once you have your draft.
Transcription and drafting run on Google’s Gemini API, billed as a paid service under Google’s Gemini API terms. Under those terms, Google doesn’t use paid-tier content to improve its products. Google does keep logs of prompts and responses for a limited time, only to detect and prevent abuse of its service and for required legal disclosures. Those logs can include text from your recording’s transcript and your draft. No other AI company receives your files.
Only the LumeGrid team working on your order. We never sell recordings, transcripts or drafts. We share them only with these services, and only to do your order: Google’s Gemini API, which processes them as described above; the Google Drive, Dropbox or OneDrive account you shared the file from; the cloud servers LumeGrid rents to run the work; and email, to deliver the draft to the people you tell us to send it to.
The recording, transcript and draft are deleted from our systems 30 days after delivery, including working copies. We don’t keep separate backups. Audio we upload through Google’s Files API is deleted automatically after 48 hours. That 48-hour limit covers only those uploaded files, not the prompt and response logs Google keeps under its terms, described above.
Best practice is to cut executive session out before sending. If you can’t, tell us the times and the draft will only say “Executive session held.”
By sending a recording you confirm the association allows you to share it with us for drafting minutes.
