LumeGrid MinutesDesk

MinutesDesk · for town, district & school board clerks

Your meeting recording in. Draft minutes out.

Send the open-session recording and agenda. You get a Word draft of the motions and votes, each with a timestamp where one was found, with the mover and seconder confirmed by MinutesDesk. You review and edit. Your body adopts. Nothing is official until then.

Then $25 per meeting, paid online. No subscription, no software.

  • Draft, never the record.
  • Mover and seconder confirmed by MinutesDesk.
  • Your body adopts.

Process

How it works

1

Point us to the recording.

A YouTube or website link to the open session, plus the agenda. The draft uses a standard motion-and-vote layout you can edit into your format.

2

AI drafts.

Transcript, then a Word file of motions and votes with timestamps. Items it marks uncertain are flagged, and MinutesDesk confirms each mover and seconder.

3

You review and adopt.

Edit as needed and present the minutes for approval as usual.

Built for the clerk’s desk

Minutes are due at the next meeting. The recording can run for hours.

Clerks and board secretaries still have to turn a long recording into minutes in time for the next approval. MinutesDesk does the first draft so you spend your time checking, not transcribing.

  • Draft, never the record

Every page says draft until your council or board adopts it. You edit anything, and your body adopts the official record.

  • Not a legal form

The draft lists motions and votes with timestamps so you can check the recording. It isn’t legal advice. If your rules require each member’s vote or other details, you add them. Your body adopts the minutes.

  • Open session only

Send only open-session audio. Never send a file or link that still contains closed or executive session. If you’re not sure, don’t send it.

  • Pay per meeting, no subscription

First meeting free by email, then $25 per meeting paid online. No install, stop any time. We don’t claim this fits your purchasing limit; check your own rules. W-9 on request.

What we measured

What one test showed

In our test on 5 public board meetings (a charter-school board and a harbor district board), MinutesDesk found all 24 motions and got all 24 vote outcomes right. MinutesDesk confirms the mover and seconder for each motion in the draft.

Records & data

Public records questions

Who processes the recording?

Transcription and drafting run on Google’s Gemini API as a paid service under Google’s Gemini API terms, which say paid-tier content isn’t used to improve Google’s products. Google keeps limited logs to prevent abuse. Google says that data may be cached in any country where it has facilities. If your rules limit where recordings are processed, or you need a data agreement, email us first. No other AI company receives your files. We never sell recordings, transcripts or drafts, and we don’t use them to train AI.

Who keeps the official record?

You do. We send the draft only to you. Your office keeps the adopted minutes, and any drafts it needs, under your own records retention schedule.

Is our correspondence with you a public record?

It may be, under your state’s records law. We assume anything we send you can be disclosed, and we write it that way.

Is the transcript or draft a public record?

It may be, depending on your state. Send only open-session audio, never closed or executive session, attorney-client or personnel matters. Whether a draft must be kept, posted or withheld is your call under your state’s law. We don’t give legal advice.

Do you need anything signed?

No contract to start. If your office needs a W-9 or vendor form before paying an invoice, we’ll provide it.
